Review Meeting
Definition of review meeting “a formal assessment of something with the intention of instituting change if necessary”
Review
meeting is an activity of all departments for the assessment of the work they do
and brainstorming for the changes required. It has to be a constructive discussion with action points
for ensuring that we are moving in the right direction.
Basics of
any Review

2. 2. MOM (Minutes of Meeting) of previous
meeting if any
3. 3. Participants
4. 4. Discussions on agenda points
5. 5. Taking corrective action or
evaluating the progress
6. 6. Next review date if any
Agenda: This is the most important event
in a meeting and all discussion has to be around these points. Need to cover
all the points and take corrective action or very next step.
MOM: If any action points are taken in the last meeting that has to be updated and what was the result of that action.
There is no point in having any discussion if any decisions have been taken in the last
meeting.
Participants: All relevant stakeholders for the
discussion points has to be present in the meeting. Must avoid people who are
not relevant for the discussion and cannot value add to the discussion.
Agenda Discussion: Each and every point in the agenda
has to be discussed and action has to be noted in minutes. Time duration has to be fixed
for the meeting so that all points can be covered. Try to cover all the points so
that we respect the agenda points.
Corrective
Actions: The meeting is
to have a discussion and take necessary action on the agenda. It must not be a critic
of the participants, there have to be constructive discussion and improvement
areas to be identified and the next step to be taken.
Next
meeting date: Every
action has to have a timeline and owner. Always fix the next review date so that
the action points can be followed up.
If we skip
any of the above steps then the meeting will not be useful 100%. Minutes of the meeting have to be circulated to
all the participants with proper deadlines decided in the meeting. Each and
every step is having its own importance for the purpose of the meeting. This
is the best tool to evaluate the current status of the journey the organization
is going through.
